Use, move or share your plan

When you are happy with your plan, and have decided whether you wish to save it within the planning tool, you have the option to save it to a Word or Open Office document. The first two icons offer these options in that order. The saved document can then be used to make final edits or formatting changes outside of the planning tool.

Create a folder for your plan - Important

We strongly advise you to create a separate folder for each planning document that is saved to Word or Open Office as this will make it easier to keep your plans and associated resources (downloaded PDFs etc..) together.

Save as Word or OpenOffice document/Export your plan

  • Click the Save as Word document icon (the first icon on the left) or Save as Open Office document icon (second from the left).
  • Save the file to the folder you created giving it a suitable file name. Avoid using full stops in file names as the results can be unpredictable.
  • Your plan will be saved and any images and linked resources you selected and downloaded will automatically be saved into the same folder as your plan. These files are saved within a subfolder with the same name as the file name but with '_files' appended to the folder name. If you opted to download any resources later while collecting content, you will need to reload your template from the 'Resume a previously saved plan' list and download them from within the Content Collected area.

Moving/Sharing your plan

If you want to use your plan on another computer or share it with a colleague you need to copy the entire folder and its contents to the other machine or compress it in a ZIP file. If the '_files' folder with the associated files is not kept together with the Word or OpenOffice file, you will lose associated images and resources from your plan.

Moving/Sharing your plan from Word 2000

If you use Word 2000, images don't display if you move the file with its associated files to a new location. This is due to the way Word 2000 references these images. To avoid this you can manually set the images to be saved within the Word document. Before moving or zipping the files follow these steps:

  1. Open the Word 2000 document
  2. From the menu select Edit > Links c. Select all links listed in the dialogue - click on the first one, hold shift key then press the End key.
  3. Check/Tick 'Save picture in document'.

  4. Click Update Now.
  5. Click OK.
  6. Save the document.
