Installing the planning tool

The planning tool is configured for a direct connection to the internet. If you use a proxy server to connect to the internet you will need to set the proxy settings.

Instructions on how to check your internet connection settings and configure the proxy settings are detailed in the help section under Connect to the internet.

Downloading EXE files can be prevented by some security or network settings. To avoid any security warnings you should download the compressed ZIP file for your operating system and extract the Install file. More information is available on the alternative download page.

ZIP files are compressed files that may contain one or more files when uncompressed.

Windows

Windows XP can decompress ZIP files without additional software by right-clicking on the ZIP file and selecting the 'Extract All' option in the menu.

For older versions of Windows you will need a compression utility to decompress the files. A selection of freeware, shareware and commercial utilities for the PC can be found on the Tucows website.

Mac OS X

Max OS X will unzip the ZIP file when you double-click it.

Yes. The setup.exe file can be saved to and run from any folder.

If you intended to install the standalone version and are presented with a login screen you have inadvertently enabled the network version. To resolve this, run the setup.exe again and ensure that the ‘Network Install' option on the ‘Installation options' screen is NOT checked.

Using the planning tool

The planning tool is only supported on Windows 2000 and above. It will not run on Windows 98.
The version is displayed in the title of the Welcome page, for example, v4.00.

This happens when a Word style, for example Heading 1 (large text) has been changed to look like normal text. In this example the base font remains Heading 1 and displays as such when it is loaded into the planning tool.

To fix this you can change the large text in your plan in the planning tool by selecting the font and font size so that it displays correctly. However, if you are planning to use the template on a regular basis it would be better to tidy up the template so that it loads correctly each time.

To fix your template:

  • select the offending text, that is, the text that changes formatting when it is loaded in the planning tool
  • clear the formatting or apply the Normal style
apply any additional formatting to the text.

Content is collected from the first tab. This is the browser tab and allows you to browse any web content. Browse to the content you want to copy to the planning tool.

There are two ways to select content.

  • Click on a piece of content to select it and a red box will appear around the selection. If you click on it again, the selection and red box will expand. Clicking on the same piece of content will expand the selection that is surrounded by the red box.

  • Drag the cursor while holding down the left mouse button to select the text (or parts of it), tables, images and downloads.

Once you have selected the content you want, click on the ‘Send to planning tool’ button.

If block dragging is enabled, place your cursor (click) at the point in your plan where you want the content be copied to before you drag any content into your plan. This defines the target location for the dragged clipping. Left-click on the clipping and drag it to the plan. It will automatically drop into the place where you positioned your cursor.

If block dragging is not enabled, you can drop the selected content at the cursor position.

Certain advanced features of Word are not supported in the planning tool as they are not compatible with web-based code. These features should be avoided. They include:

  • rotated text - keep text horizontal. For narrow columns keep the heading short
  • text boxes - using tables to lay out your page will load more consistently than using text boxes. Text boxes should be avoided
  • complex borders - it's best to keep borders and patterns as simple as possible
  • wrap around tables - when a table is set to allow text to wrap around it the text appears to the right of the table rather than below it
  • misaligned rows - this can be caused by a complex combination of merged cells.
  • Use the portable version to collect all your content and save plans to a USB memory stick. You will be able to use this at school and at home.
  • From a standalone version - create a back-up and restore it to your home computer.
  • From a network version - create a shared plan for each plan in the planning tool and import it on your home computer.

Some advanced features in Microsoft Word cause elements of content to be hidden when exported from the planning tool. Most of these have been identified and accommodated. If you find this is still occurring with one of your templates then forward it to the Customer and Events team so that the issue can be investigated.

Links in the Content collected and Content manager areas are not active. This is by design to prevent additional tabs being opened within the planning tool. To open a resource within the planning tool you can:

  • click on the Preview tab and click on the link. Links on the Preview tab are active
  • navigate to it using the browser tab (the first of the three tabs), follow the link and then download or open the file
  • save your plan to Word and then use the links within the Word document to open the linked file/s.
